Notice of Annual General Meeting
April 22, 2025 @ 7 PM Sooke Community Hall, Lower Level Dining Room
The Sooke and District Minor Hockey Association (SDMHA) will hold the 2025 Annual General Meeting (AGM) on Tuesday, April 22nd, 2025 at 7pm. The AGM will be run in person. All members in good standing in attendance are eligible to enter a draw for free league fees (not including rep fees) for the 2025/26 season. This is a closed meeting for only SDMHA members.
SDMHA is a volunteer-run community organization with over 200 members that constantly requires new volunteers with fresh ideas to help maintain our well-established hockey programs. The purpose of the AGM is for the members to review the operations of the society and elect Executive Board positions that have come to term or have been vacated. It is always the goal of our association to strive to create a board representing the widest range of participants from all our hockey families. Please consider attending the AGM as it is your chance to see what we have been up to and voice your concerns on what your SDMHA can do for you moving forward.
Election of the Executive Board at the AGM will be held for the following positions:
- President*
- Vice President - Administration*
- Secretary
- Treasurer (half term - 1 year)
- Registrar
- Coach Coordinator
- Referee in Chief
- Ice Allocator
- Directors at Large (i.e .Fundraising and Sponsorships, Divisional Coordinator, Risk Management etc)
*Must have served at least one term as a Director.

If you or someone you know would like to be part of the Executive please check out this link to the SDMHA Bylaws for clarification of duties.
When nominating someone for a Director at Large position, please note that the nomination is not for a specific position, such as Risk, Webmaster or Division Coordinator. Director at Large positions will be assigned after the first meeting of the new Executive.
As per Article 5.7.3 of the SDMHA Bylaws, there can be no nominations from the floor. ALL nominations for ALL positions must be received by the Committee by Midnight April 8th, 2025 via email to nominations_committee@sookeminorhockey.ca.
There will be 2 motions to be voted on during the AGM (see below for more info).
Motion 1 - request for an exemption to SDMHA Bylaw 5, whereby, following the 2025 AGM the SDMHA RIC will be appointed by the Board of Directors for a one year term.
Motion 2 - request to amend the bylaws of SDMHA to change the position of RIC from an elected position to a board-appointed position.
SDMHA is your association and only prospers by the dedication and perseverance from all volunteers. For a program activity of this size, that engages so many, and so much of our community, volunteer support is the only reason we exist. Please take the time and come to the AGM. Help ensure that there is always a ‘next season’ for all our hockey families.
